How to

Learn how to create a portfolio and program in Jira Align

1. From the Administration menu, navigate to the Portfolios page
   1. If the portfolio does not exist, select the Add Portfolio button
   2. Enter details on the Details tab
      1. Portfolio Name - Provide a generic placeholder name, for example, “<company name> Portfolio”
      2. Description - Talk about the purpose of the portfolio briefly here
      3. Parent Organization - Select the “<company name>”
      4. Team Description - Set to “<Portfolio Name> Leadership Team”
      5. Region - Select the local Region
      6. Active - Set to “Yes”
      7. Scorecard - N/A
      8. Intake Form - N/A
      9. Case Development Custom Fields - N/A
      10. Select the Save and Close button
   3. Verify that the new Portfolio is visible in the context configuration at the top of the screen
2. From the Administration menu, navigate to the Programs page
   1. Select the Add Program button
      1. Name - Set to “<Program Name>”
      2. Solution - Set to “No”
      3. Portfolio - Set to the new placeholder portfolio (or the pre-existing “real” parent portfolio)
      4. Team Description - Set to “<Program Name> leadership team”
      5. Region - N/A
      6. Solution - N/A
      7. Scorecard - N/A
      8. Intake Form - N/A
      9. Case Development Custom Fields - N/A
      10. Click the Save and Close button
   2. Verify that the new Program is visible in the context configuration at the top of the screen

• A new program created in Jira Align linked to a parent portfolio

Background

How to

Learn how to create a new program collaboration space

1. In Confluence, create a new space for this program
   1. Select Spaces in the Confluence navigation and select View all spaces
      1. Select Create space
      2. Set Space Type to “Team Space” to use the team space template
      3. Select the Next button
         1. Set Space Name to “<Program Name> Program”
         2. Set Space Key to “<Program Name>” (all caps - must be unique across the enterprise)
         3. Set Team Members to only the program leader (for now)
         4. Set Description to “Knowledge management support for this program leadership team”
         5. Select the permissions to be “Default permissions” (as set by the local Confluence admin)
      4. Select Create to finish creating the space
   2. Verify that the new space is now available and visible to anyone in the enterprise
   3. Select the <pencil> icon to edit the Overview page
      1. Replace the green Welcome window with a new Heading called “Purpose”
      2. Capture the purpose of this program, from the perspective of the enterprise
   4. Select the Publish button

• Placeholder program vision created in Confluence
• Space is shared with program leadership team and others to begin collaboration
